      Dear Dispute Resolution Team,
      This letter serves as Americom Imaging Systems, ****'s (AIS) official response to complaint #********, submitted by Office Manager *********************** of ****** Family Chiropractic, LLC (HFC) on May 7, 2024.
      HFC's complaint alleges difficulties in contacting AIS regarding their leased Xerox Copier. We would like to clarify the following points and provide supporting documentation:
      Communication Efforts: AIS has responded to HFCs inquiries multiple times via email, providing clear instructions and necessary information. Attached are the email threads, including date and time stamps, demonstrating our timely and consistent responses.
      Proposal for *** Machines: Initially, AIS offered HFC a proposal to either release their current machines or purchase new ones. AIS Sales Representative *************************, including Sales Manager ***************, visited HFCs site, engaged in phone conversations with ***********************, and exchanged numerous emails.
      Lease and Return Instructions: Upon ****'s decision to switch to another provider, AIS Sales Representative ************************* communicated the costs associated with closing out the lease and the process for shipping the machines back to **************** It is important to note that the lease agreement is between HFC and **************** with AIS acting solely as the servicing provider.
      Direct Contact with **************** ************************* provided *********************** with all necessary contact information to *************** and advised her to liaise directly with them. AIS has also notified *************** to coordinate directly with HFC for the return of the equipment, thereby removing AIS from this process.
      We believe the attached documentation will provide a clear understanding of our diligent efforts to assist *********************** and HFC to resolve this matter efficiently.
