    We sought services at this medical provided on 6/6/2024. Account#***** for patient ******* ******. We paid $695.50 for the estimated patients portion for services. However, health insurance paid the provider and the patient portion should have been $402.15 and we are owed a refund of $293.35. We contact the provider on 7/24/24 and were told they would process our refund. We have followed up numerous times since then (8/8, 8/22,8/23, 9/3, and 9/10) without any resolution of our issue. I spoke with **** Poneroff -the office manager on 8/23 and she assured me the issue would be resolved and it has not. Since then I have gotten no response to my follow up calls. This is ridiculous that this is 3 months post services and they continue to delay in refunding me the overpayment.

    This patient is absolutely correct. They are due a refund in the amount of $293.35. The notes in the medical record do indicate that this patient reached out to our billing company and requested a refund, and it was still pending as of today. I have contacted our Account Manager at the billing company and made them aware that their inaction has led to our patient being very unhappy and frustrated, to the point where they felt their only recourse was to file a complaint with the BBB. I have also contacted the patient and was directed to speak to her mother. I have left a detailed message with the mother (******) apologizing and also letting her know that we will process her refund today and it will be in tomorrow's mail. 

    This is not how we want to do business and this poor customer service is embarrassing and unacceptable. I will be taking this up with leadership at the billing company and will also be investigating if there are any others outstanding as well. 

    Thank you for bringing this to our attention so we could resolve this. We received this complaint in today's mail, the letter dated September 12, 2024 and the postmark of September 16, 2024.

    I had surgery May 1, 2023. They told me I had to pay a deposit before I could have my surgery. I pay them $648.45 which is what they asked for up Front.when my claim was submitted to my insurance company I only owed them$424.80. I have been trying to get my difference paid back to me for the last couple of months. They have been giving me the runaround since I first started calling them back in May. I spoke to them two weeks ago and they said the check would be in the mail as of today August 9. I still don’t have a check.I have made numerous phone calls and asked for supervisors, but nobody is refunding the money.I still have not received the check for $223.65.

    We received the complaint today via US Mail. I contacted the patient immediately and apologized for the delay in processing her refund. I did explain that we use an outside billing service and they did document speaking to her and that it would take take to verify and process her refund. I also looked at all documentation and do see that the delay in refund did take longer than it should have. Her refund was mailed last week and she should be receiving it. I have also reached out to our account manager at our billing company to discuss this case and my dissatisfaction with their processing time. They are looking into it. I unfortunately can't fix what is done, but I did express our apologies again to our patient and let her know that we do our best to estimate what the patient's co-insurance / deductibles will amount to. We use a software program that takes into consideration her specific plan and the procedure the surgeon has ordered. 

    The patient seemed satisfied with our call and my apology and that I would be making every effort to prevent these type of delays in the future.

    I do have back-up paperwork of the patient estimate, the explanation of benefits and the notes from the billing company, but since this all relates to private health information, I'm not including it. 

    If there is anything else I can do to clear up this complaint, please let me know.

    I have reviewed the response made by the business in reference to complaint ID ********, and find that this resolution is satisfactory to me. I did receive the check 8-15-23 thank you for your help in this matter.
