    We are a public sector institution that requires all departments to generate purchase orders and submit them to Accounts Payable for processing. This process typically takes a minimum of 35 weeks, and our institution is not permitted to use credit cards for software purchases.During onboarding, we addressed these constraints, which Procare acknowledged, allowing us to be invoiced Net 45. In 2024, the primary user was told the annual renewal invoice would be generated 05/17/2025 and emailed to said primary user- Net 45. On 04/17/2025, ********************** generated an invoice and made a mistake by sending the invoice to a person completely outside of our org. This person is involved with the procurement of goods/services for the entire institution, but cannot act on or distribute invoices meant for our department. Procare sent the invoice to the primary user on 05/20/2025, but terminated services 06/02/2025 due to nonpayment. Keep in mind, 05/20/2025 was the very first time we saw the invoice. When presented with the above information, they denied any wrongdoing and justified their own mistake. This situation has had a severe operational impact on the primary user, who relies on ********************** to manage a large childcare center within our institution.Procares refusal to acknowledge their mistake, adjust the invoice date, or offer a reasonable extension of service has been deeply disappointingand telling.
