August 5th I took my son in for his before school vaccinations and check up. Told the guy up front that I was in between insurance so I would just have to deal with the payment. He said no problem. Appointment went fine and we were told everything was “all set “ when we left. I figured they would send us a bill. Now they want to charge $600 + for two shot and a checkup because they tried billing through insurance which we didn’t have. They made a billing error and now I’m responsible for it ? I’m willing to pay a reasonable amount but they won’t budge because they used a “ in house “ batch of vaccines that cost more than the cash ones ? They are a VFC location and I explained we didn’t currently have insurance so I felt it was safe to expect a bill for a couple hundred bucks. They said I should have known better when they didn’t charge me at the counter and let me go . I guess that’s an indicator they’re expecting to bill insurance ?

In our office our self-pay policy is that charges must be paid the same day to receive a discount. We also have to be notified before giving any immunizations to the patient. If the patient has insurance they cannot receive VFC vaccines provided by the state. There is a form they must sign acknowledging they are self-pay and therefore can receive VFC immunizations. When the parent brought child in he told my front office that he would call with insurance info (note on chart from ****** ******, front desk staff  “Dad will call us and get us his updated insurance card.08/05/2022  AL”) so there was no reason for my nurse to question if he should get VFC vaccines or vaccines from our purchased stock. When Dad called I did offer to discount the visit itself as well as the administration charges for the vaccines but explained that I couldn’t discount the vaccines themselves due to the cost of purchasing the vaccines. I also reminded him that he signed financial policy paperwork within the last year that addresses the self-pay policy to which he said “I didn’t read all of that”. It is however initialed acknowledging it was read. He then said we could just turn it to collections as he won’t be paying.

***********  09/23/2022 12:48:01 PM > lm rtn dad's call regarding a discount. Agreed to discount WCC but can't discount vaccines. I did change the admin codes to help with cost as well.
