    First off, I would like to be contacted by phone before any action is taken with Houseman. MY PROBLEM: My (1) initial estimate and (2) signed 10-year contract (beginning Feb 2023) both specify an agreement between Houseman and me for quarterly payments of $75 each. These terms are in clear print on both documents, and signed by Houseman's agent. Since then, I have never failed to make a $75 payment on time, every three months. On Friday 6/20/25, I received a voicemail from an office employee, telling me I had to begin paying the yearly amount of $300 IN FULL at the beginning of term OR ELSE they were going to void my contract and pull the bait traps. There is nothing stated in the estimate OR contract obliging me to abide by such a billing change. I am a single payee and I am retired on a fixed income; most importantly, I entered into a signed contract with Houseman with specified billing. It was one of the most attractive features of the contract, and influenced my decision to sign up with Houseman. I am interested in holding Houseman to their original billing agreement with me for the duration of my 10-year contract. Please note that interaction with Houseman employees at my home has been superior, and I am in no way complaining about the company's service.

    We appreciate the opportunity to respond to Ms. ******** concerns regarding the billing structure of her termite coverage contract. The contract (attached) specifies that the annual renewal fee is $300.00 and the service frequency is quarterly. Billing and service frequency are separate items. 
    We sincerely understand and empathize with her frustration regarding the change in our billing system. Previously, we were able to accommodate quarterly billing requests for customers on a fixed income, and we were happy to provide that flexibility when she initially made the request.
    However, in the fall of 2023, our company transitioned to a new software system which unfortunately does not support the quarterly billing option for renewal programs. In October 2023, we mailed a letter (attached) to all customers who were enrolled in quarterly payments, including Ms. ******* informing them that this option would be discontinued and that going forward, all termite coverage renewals would be billed annually. This change affected all impacted customers equally.
    The annual renewal premium for Ms. ******** termite renewal payments are currently on her account but, due to the new systems requirements, we are unable to apply partial payments to the renewal. Payment in full is required in order to activate the annual contract and ensure that coverage remains active. Without full payment, the system will automatically cancel the renewal to avoid any misrepresentation of coverage and will continue to cause interruptions in service and coverage.
    We deeply regret any inconvenience this may cause and are actively exploring longer-term solutions that may offer more flexibility. In the meantime, if Ms. ****** would like to proceed with coverage, she may pay the remaining $150.00 to bring the policy current. We are also happy to assist her by phone or email if she needs help reviewing payment options or coverage details. We can also change her renewal date (onetime courtesy) to a more convenient month in order to relieve any financial burden.
    We value her business and her trust, and we are committed to delivering the quality service she expects from us.
