I would like to revisit an accounting issue that arose at the office. I was told at my very last appointment (after paying for retainers) that my retainers would not be released to me due to me missing 3 payments in 2023. With all due respect, I paid every invoice sent to me on the grounds that I could NOT continue service (make appointments, etc) unless my account was current. So that requirement ensured that I paid before service. Every month. Which I had no problem with. My problem arose when the manager (older female with cropped blonde hair) dawned a new total of $400+ at my last appointment I attended where I was to be fitted for my retainers. She was rude and immovable and awfully insistent that I could not have the retainers in which I paid for ahead of time until I paid said balance. Like *** stated, *** had no issue paying when invoiced, however my funds have become very tight with losing my job and the current economy. I simply dont have $400+ to settle an accounting error on Davis Family Orthodontics end. I would love to explore other options such as waiving this amount due to the fact that its no error of mine, or things such as issuing my retainer and billing me for the sum. I dont think my dental health should suffer because of accounting errors made by the office. Please feel free to call me or email, a direct message from Dr ********************** would be greatly appreciated.

The account has been reviewed and she came in for 3 appointment visits; 6/7/2022, 8/24/2022 and 3/28/2023, and she was out of contract. Contract ended 03/2022. Which means she had to pay for the treatment that she received on those days. Patient is aware she is out of contract and pays for her visit. Unless she can show that she paid at these visits.
$109.00 was billed out for the visits on the account for a total of $327.00. Plus a missed appointment fee $30.00 on 7/20/2023 for a grand total of $362.00 that is owed.

I am rejecting this response because: My complaint is about the extreme delay in notifying me that I owed ANY funds. Every Visit I am required to pay a fee, or else I am not able to sit for service after my contract ended, so the fact that I was paying every month at my designated times of the month and then after my contract ended, I was still paying my monthly balance. I received no notification that any extra charges were being added or any payments were missing from my account. I would like ********************** to produce my payment history, and show that I paid nothing for those months.

      Sincerely,

      Complaint: 21420075

I am rejecting this response because:

Upon reviewing the documents that were sent over, they were incomplete, missing the following:

-What time were these appointments that I missed?

-What took place at these appointments (what did I have done)?

-Why were there 3-4 "per visit charges for $109.00 added on 11/21/2023 if in fact there was "no accounting error" and everything was checked and balanced at the time of my contracts end?

-As ******************************* stated, after my contract was over I was not billed monthly. If not billed monthly, in what way was I billed?

-What were the dates my account went into collections?

I simply would like proof that I visited the office on those dates and was seen by a dental professional. Surely there are records of that.

After further research of my own records, it seems that I did not visit the office on these dates, and If I did, I paid in full before being asked to come back to the sitting area. If I was not asked to pay per visit at any visit outside of my contract, that would be considered an accounting error/Front Desk Intake Error that no one from Davis Family Orthodontics is owning up to, or even trying to rectify.

I particularly remember speaking with ******* personally over the phone regarding another situation where I gave her my insurance information to be applied. Upon my next visit in, ******* simply told me that she didn't know what I was talking about and that I did not speak to her. I wrote it off as maybe the office was busy, but in this instance, Davis Family Orthodontics is requesting funds that were already paid and the record of which were lost, or they are requesting payments for visits that were rescheduled at later dates and paid then.

I ask that Davis Family Orthodontics please review your files thoroughly because I pay what I owe. Which only leaves room for someone in that facility to have mishandled payments.

      Sincerely,

      ***********************
