      I called Dr *********'s office the end of August to schedule a cleaning. I was informed they couldn't schedule me due to a past due amount. I wasn't aware of owing anything and offered to pay it. They told me it had been sent to collections at the beginning of August and I would need to contact the collection agency. They provided me a number to call. I had not received any notifications of balance due or that I was being sent to collections. I called the agency and it was going to be a $100 fee plus processing. I said I would pay what I owed but not the extra since I had never been notified. The agency called the dentist office and the dentist agreed to wave the collection fee. The only way to avoid the processing fee was to pay the dentist directly. I then called the dentist office and they took my payment and offered to schedule my cleaning. I told them no because I would not be coming back to them. This week I received a letter from the collection agency. I called assuming it was a mistake since I had resolved this in August. They placed me on hold and called the dentist. They came back to tell me that the dentist had changed his mind and now wanted it paid through the agency. The office had kept my cards on file but did not charge me nor notify me that they had changed their mind on accepting my payment. I again called the dentist office and was told that yes the dentist had changed his mind on taking my payment. When I asked why didn't they notify me, the response was that the collection agency should have. This entire situation is very frustrating. I never had any notifications via mail, email, or phone that I had any balance due. I never received notification that it was being sent to collections. And then once I was aware of the situation and paid what was owed only to find out over a month later that they changed their mind on accepting my payment makes me furious. This is now showing up on my credit report when it should have been cleared.

      All patients sign our office policy stating co-payments are due the day of service and that any balance over 90 days will be sent to collections.  Our office sent 8 statements to the patient over a 16 month period, well past the 90 day overdue period.  Once an account is sent to collections, the patient must deal directly with the collection company, as this is a service we pay to handle these affairs.

      The collection company contacted us to let us know the patient had requested we waive the collection fees and allow her to only pay the principal amount owed.  We agreed to waive the collection fees, if the patient paid the collection company in full. We still have to pay fees to the collection company for their services, so we take an additional financial loss by agreeing to waive the fees for the patient.

      The patient called our office in an attempt to pay the balance via credit cards.  We informed the collection agency that day that the patient had attempted to make payment to us, and that she needed to pay collections directly.  Unfortunately, once an overdue account is sent to collections, the payment matters are out of our hands.
