      I went to Wellness Concepts Clinic, **** ** ********* ****** *** ***** ************ *** ***** on June 12, June 19, June 26, & July 3, 2023. Each time they made me pay up front even though I have insurance. My insurance company paid them on July 11, 2023, but I have not been able to get a refund from them to date. I called them multiple times and even had my insurance company call them on August 9 at which time the insurance person, ***, said she just found the check that day. Really? It was issued to them on July 11 so they would have had it about 3 weeks at the time my insurance company called them. *** said my refund will come from another location, yet no one will tell me who or where the other location is. This is wrong. No other health provider makes you pay up front, other than a co-pay, if you have insurance. I should be refunded immediately.

      **** ****** came to our clinic on June 12. This was when we got her insurance cards and we explained that we had to call and see what benefits she had to see if we could file. We explained that she would pay up front until we got the first payment from the insurance company and it takes 30 to 45 days for insurance to process claims. This is our policy since we are a small company. When we received the payment we would reimburse her what she paid minus whatever co-pay she had. Every visit she asked if she had a credit. The insurance company paid for all 4 visits on a check they wrote on July 11, 2023. I was working on a stack of payments on August 9th when patient had insurance call. I explained to **** ****** when she called back after the insurance called that the insurance company has a process they have to go through when they print checks. Just because the check was printed on July 11, 2023 does not mean it went out to us the same day. They print hundreds of checks a day and they have to have their own checks and balances before anything was sent to us. I told her I had just posted her payments and I still had other steps to do before I could calculate her refund. When it was done I had to send everything to our accountant, who does not work in our building, to get a refund check. I explained sometimes this can take up to 2 weeks.  I asked the accountant to put a rush on it. The check was written from the accountant on Monday August 14, 2023 and I received it to send to **** ****** on Thursday August 17, 2023 where I turned around and put it directly in the mail to **** ****** for a total of $240.00 which is what she paid minus her co-pay.
