I signed up for the ADTA annual conference on October 25th 2023. The conference is November 9th -12th in Denver. I paid 400.00 for the whole conference which includes Classes for Friday, Saturday, Sunday and a evening banquet and dance on Saturday evening. When signing up for classes on the classes with availability showed up on the screen. Saturday did not have any classes show up but did not display why it was unavailable. I reached out the association via email on Nov. 1st and spoke on the phone addressing my concerns regarding my schedule. I was told classes have met capacity even thought I paid. No refunds were eligible due to being passed the refund date of Oct. 20th. I inquired regarding a waitlist for the classes in hope to sign up but that option was unavailable.
I was told to reach out to the president and president elect regarding my situation. I reached out to the president on Nov. 2nd via email and requested to be put into a class on Saturday as I paid for Saturday anticipating I would be put into a class or to be partially refunded for Saturday. Again, I was denied a compromise for a refund to be added to a class. I was also told to enjoy other events such as the banquet and dance.
I do not think it is equitable for the association to charge for a full weekend of classes when Saturday classes are filled and I am not able to participate. It was also not disclosed that classes were filled. Additionally, there was not an option to only pay for the days where classes were available.
Lastly, I also do not understand why refunds are due the 20th but registration was available until October 27th. Even though that was a policy, there was not any disclosure on the receipt, conference manual or registration prior signing up about classes being sold out and still having to pay. I hope to either received a partial refund for the classes I cannot attend or to be added into the morning session classes.

    Business Response

    Date: 12/01/2023

BBB spoke to the business administrator and the following was relayed:he conference registration opened on Wednesday August 9th.  She registered on October 25th.  By that time, many slots were already sold out.  It is first come, first come basis.  She knew what she was registering for and what she wasn't at the time she was registering and before submitting payment.  She knew what she had access to and what she didn't have access to before she paid.  She could have choose not to register.  The notification of how that works is very clear and is posted more than 4 times.  There have been 310 people who have registered and this is the only unsatisfied situation.  We strive to do and be the best that we can, and again everything is clear beforehand.  Thank you.
