      Ardor Adventures hosts a New Years Day run every year. It was supposed to happen on 1/6/2024. Less than 48 hours before the event, they postponed it to the next weekend due to weather. They didnt offer any refund or other option, just said it was being moved to the next weekend with very little notice. Being that its at the Oregon Coast I lost money on the hotel room I had booked since it was such little notice.They then ended up cancelling the event all together. This time around they did email saying that they cant refund, but could transfer the race credit to a new race in the future, or next years race date. A week or so later, they sent a separate email saying this: We initially extended an offer of 100% credit towards participation in the same race next year or any of our future events. Upon further review of the incurred expenses, we have determined that offering 100% credit would not be financially viable for our organization. Therefore, we are revising our offer to provide 50% credit of the amount you paid for registration fees. Please note that this credit can be applied towards participating in the same race next year or any of our future events. Additionally, we regret to inform you that purchases made for event merchandise, such as shirts, cannot be refunded or credited as these items have already been decorated. However, if you still wish to receive the shirt, we can mail it to you for a nominal fee of $5.00 to cover mailing expenses.So basically, they are pocketing the money we spent for the race and they flat out cancelled the race saying they cant afford to pay people back. They are now also not even responding to me (Ive been trying since February 2024) with a code for a future race. It feels like a scam and they just pocketed the money and are refusing to transfer any credit or money back to the participants to paid for the race.

      Thank you for bringing this matter to our attention. We appreciate the opportunity to address the concerns raised by the participant regarding our Newport Resolution Run & Polar Bear Plunge event scheduled for January 2024.

      First and foremost, I would like to emphasize that the safety of our participants is our top priority. The race was initially postponed due to extreme ocean waves that posed significant safety risks, particularly because the event includes a post-race plunge into the ocean. Unfortunately, this situation left us with no choice but to move the race to the following weekend.

      Regrettably, the following week brought an unprecedented ice storm to the Oregon Coast, causing widespread damage and power outages across the region. The City of *******, concerned about the ongoing emergency response efforts, pulled our event permit the day before the race. This decision was made to ensure that first responders and contractors could continue working without additional strain on resources.

      By the time of the cancellation, Ardor Adventures had already incurred substantial expenses, including the purchase of shirts, finisher medals, insurance, permits, and food for the event, all of which are non-refundable. While we initially offered a 100% credit to participants, we later had to revise this offer to a 50% credit due to the financial impact on our organization. This credit can be applied to any of our future events, including the same race next year.

      We understand the frustration this situation has caused, particularly for those who incurred additional expenses, such as hotel reservations. We are committed to being transparent with our participants and have communicated our policies and the reasoning behind our decisions clearly. We also remain willing to provide the 50% credit as a gesture of goodwill and to ensure that our participants can still enjoy our future events.

      We apologize for any inconvenience this may have caused and assure you that our intention is to act in good faith while balancing the financial sustainability of our organization. We are more than willing to continue working with the complainant to resolve this issue amicably and ensure they are able to use their credit for an upcoming event.
