I have requested a refund of overpayment from PTCOA since July 2024. I have attached a copy of the chat transcript showing that I keep getting the run around. I spoke to ***** or ****** on 2-12-2025 & was told my request was being escalated & that I would receive a call the very next day. I called again on 2-14-2025 because I had NOT received the call and I left a voicemail. I called on March 6th & asked to speak to the billing manager about my refund. I was given the name ********, but as of today I have not received any communication from them. Whatever the excuse is for not refunding me my money doesn't trump the fact that you are ignoring my request.Business Response

To whom it may concern,
I write to follow up on the the March 12, 2025, complaint case #******** we received from your office regarding an overdue refund from Pain Treatment Centers of America, PLLC ("PTCOA") for patient ****** *******. In the complaint, *** ******* indicated that she has been waiting for a refund of overpayment from PTCOA since July 2024.
We have thoroughly investigated the allegations in the complaint. Based on our investigation, we have concluded that the refunds of overpayment in the amount of $593.70 from PTOCA and $896.29 from ************** ******* ********* of the Little Rock were issued via checks and mailed to the patient's address on file on March 24, 2025. Please see attached copies of refund request forms and corresponding checks.
Our investigation also revealed that the refund request was not submitted to the appropriate department in a timely manner according to PTOCA policy. This issue has been addressed, and team members have been re-educated on the process and workflow for refund requests.

On January 13th of 2025 I had an appointment at the Pain Treatment Centers of America in Fort Smith Arkansas. Due to inclamate weather conditions I was unable to attend the appointment. I called and texted the business to let them know I could not drive 90 miles to their doctors office and 90 miles back to my home while the roads were covered in 8 to 12 inches of ice and snow.
They said it would be ok and that I need to reschedule my appointment for January 27th of 2025.
The office contacted me 24 hours prior to my Jan. 27th appointment and told me that My insurance could not be processed and that I would have to pay 262 dollars to make the doctors visit. I couldn't come up with the funds within 24 hours so I had made an appointment for February 4th which as also confirmed to be ok. At no time was there ever any discussion that the doctors office would no long see me as a patient.
On Feb 4th I drove 90 miles to their office and paid them 262 dollars for a doctors visit and to be seen and recieve medical health care that I paid out of pocket for. After paying them I was taken to a room where they said that since I did not come in on Jan 13th due to inclamite weather that they would no longer give me medical health care which they could have done when they set up my previous appointments.
They then informed me that they were to report to the DEA that I violated the law when I did not show up so they could count my medicine. They informed me that as of Jan 13th they decided they were not going to see me as a patient anymore yet the set up two appointments and then took my money and did not refund me.
As I tried to explain to them that it was impossible for me to drive on the road during the winter storm they said they didn't care. They would not let me provide any kind of request for review. They would not talk to me after taking my money and telling me they were no longer providing me with health care. I paid and they refused service and took my $PTCOA has reported to the DEA that I violated the law by not coming in for a medicine count due to inclamite weather. This will make it next to impossible to recieve pain treatment because it shows that I did not follow the rules simply because the roads were hazordous and they could have made an appointment for a medicine count before my refill date of Jan 23d 2025. They made an appointment for Jan 27th. They told me after taking my money without a refund that since I could not commute due to an act of god on the 13th and that their office was incompitent to make me an appointment before my prescriptions were due for a refill that I knowingly and willingly tried to avoid following DEA requirments for some medicines. The fact is they didn't do their job and now there is a paper trail saying that I violated standard procedures and the law when that is not the case. They offered no way to fix this issue and said they would not talk to me anymore.

Based on our review, *** ******* discharge from care was appropriate based on his failure to comply with his PTCOA pain management agreement and his treatment plan. He was seen for the office visit on February 4, 2024, and services were rendered; therefore, he will not be refunded the $262.00 self-pay amount he was charged.

After seeing an advertisement about this business being able to help people with migraines I scheduled an initial consultation visit. On that visit they drug tested me and told me that they would check with my insurance provider to see if they would cover Botox treatments. They then scheduled a follow up visit and drug tested me again and told me that my insurance would not cover the treatment. They did absolutely nothing to be paid for as they should have known in the first visit that my insurance wouldn’t cover it and there was no reason for drug testing until the treatment was approved yet they did it twice. I don’t feel like I owe this company anything as they did nothing to constitute billing me for. I sent them a message disputing the charges and received no response other than someone calling me telling me I needed to pay the past due balance. I would like to receive a billing credit for the full amount of $293.74.Business Response

I am writing on behalf of Pain Treatment Centers of America in reference to the complaint
submitted to your department by *** **** ******** on September 3, 2024, regarding her office
visits to Pain Treatment Centers of America, PLLC (“PTCOA”) on January 13, 2022, and January 20,
2022, with *** ***** ******* In her complaint, *** ******** expressed concerns regarding her
responsibility for the total charges in the amount of $293.74 associated with the office visits and
urine tests on the specified dates of service.
We have thoroughly investigated *** ********** complaint and reviewed all applicable billing
statements and documentation from her appointments. *** ******** was charged a total of
$198.34 for her initial appointment with *** ****** on January 13, 2022, which included a urine drug
screening and confirmation. In accordance with PTCOA policy, a baseline urine drug screening
and confirmation are performed for new patients to assess potential drug interactions with
proposed treatments or when considering opioid therapy. On January 20, 2022, *** ******** saw
*** ****** and received 200 units of Botox, but her insurance did not approve this treatment, thus
she was not charged for the Botox. *** ******** was charged $82.80 for this office, which is
accurate, and no further adjustments will be made to the account balance. However, our review
did indicate that *** ******** was charged for a urine drug screening and confirmation that were
not required. These tests should not have been provided or billed to *** ********. As a result of
our review, a credit of $12.60 has been applied to *** ********** account.
