    I received an invoice for our HOA mid April. I paid by check WELL within the time (11 days) limit so as not to be late. I then proceeded to receive three letters and two emails telling me I was late in paying. I emailed saying, no, please check your account receivables. No response. My bank showed that the check had been deposited 5 days before due (if deposited 5 days it had to have been received at least 6 days prior). I then received a phone call saying I was late. Check your receivables I repeated. I was informed that's not how "accounts receivable" works. i responded that's exactly how it works. I was told I probably sent to wrong place. i got a copy of front and back of this check and one cashed by them months ago and low and behold it was deposited into the same bank with the same number. This was on a Friday, I then sent the check copies by email and requested a letter/email stating I was never late in my payment and that they were sorry for any inconvenience. The following Monday (5 days after my bank showed they cashed/deposited my check) I received yet another "late" notice. I have sent three emails and two phone calls. All have been ignored. This began, I'm sure, as an oversight in accounting. It ballooned as no one was willing to take responsibility and admit an error.

    We apologize for the confusion created by the correspondence. Once you received the first late letter, *** responded quickly to your concerns. Your payment was processed at the same time that another late letter was being automatically sent, so they crossed paths. Please note that the payment was sent to *********, and there is nothing ATC can do to expedite the Postal Service's delivery or the bank's processing of lockbox checks. Two letters and two emails were sent, and those letters clearly state that the payment might be posted at the same time the letter is sent. 


    Everything is now posted correctly, there were no late fees charged, and your balance is zero. While these issues were beyond our control, we understand the importance of clear and effective communication. Therefore, we will enhance our processes to ensure better coordination and timely updates in the future. If you have any further questions or concerns please reach out to us.
