I had a appointment at Coast Dental in *********** in May for what I was told was a exam and cleaning. After waiting a hour past my appointment time I was called back and taken to a very dirty room, where X-rays were performed. My teeth were looked at by the dental assistant and I was told I had severe periodontal disease. I asked her if a dentist would be looking at my teeth today and she stated "we have no dentist on site today". She proceeded to turn on a tv screen and a woman appeared, who stated she was the dentist. She said she looked at my X-rays and I would have to come back for a in person appointment. Immediately following this I was taken to another dirty room and was told that I needed a scaling procedure done or I was risking getting sepsis and risking my life. I was pretty terrified when she told me this so I asked her to give me a estimate and told her I would think about it. I just wanted a dental cleaning and was going to follow up with a different dentist since they didn't have one in the office. I was then told I couldn't get a cleaning until after this scaling procedure. I was given a estimate which was confusing and was told my insurance was great and it would cost me very little. As she stated " you have great insurance, it covers almost all of it. After showing me a estimate and telling me I could finance the rest which wouldn't be more than a few hundred dollars and if I didn't go through with it I was risking my life, I signed her form. Needless to say I did not need treatment "immediately" as they stated and I received a bill for much more than I was quoted, my insurance paying very little of it. I was even billed for a comprehensive dental exam by someone I never saw. Coast Dental has no integrity and are totally incompetent. In March of 2022, I went to Coast Dental *********** on Mahabharata Drive to begin treatment as a new patient. At the time, I was approved for $5700 in ****** credit, which I accepted. After using less than half of this amount in services, I became aware of the fact that Coast Dental billed me for the entire amount, rather than the amount I should actually have been billed. I spoke with ******** in their office for two months, and was given misleading and untrue information regarding the necessary billing adjustment. When I contacted their corporate office via ********* I received an update from ********, a regional representative, who connected me with the office manager - neither the regional manager nor the office manager had been made aware of the issue at this point.In August 2022, I received an update from ****** notifying me that Coast Dental denied the adjustment as a result of an insurance billing issue. I have made multiple attempts to contact both ******** and the local office manager, to no avail, and require resolution so that I can make payments to ****** and take my dental care to a more professional and responsive office.Business Response

Coast Dental sent me an invoice for work that was not done on me. The account number is **********, the amount on the invoice is $379.00 the date of the invoice is 12/03/2021. I spoke to a person named ****** who answered the phone, in April, after an invoice arrived. We discussed the issue that I have never been to their location and not been to the dentist in the last 6 months of 2021 and we discovered that the date of birth was different from mine. He said he would take care of it. I have since received subsequent invoices and now the issue has been handed over to a collection agency. I called their headquarters, where invoices seem to originate, and left messages at leas twice and more likely 4 times. I even contacted them through their "contact us" email, outlining the issue and have not received any call backs or response to my email. I was involved in a website chat with one of their representatives on 7/28 who said that after talking with his supervisor that this matter would be escalated. He asked for my best phone number and told me to keep the phone near by and that I shoiuld receive a call soon, making it sound iminent. Nothing yet, and here it is Monday. On the same day, Thursday, I went to the office that I use asked for help, letting them copy the invoices/documentation. She said she would forward to district manager. No call or follow up. This will affect my credit score and is very annoying that they should ignore even discussing this with me on any level. Please help!Initial Complaint

On 2/23/2022 my son ****** ******** had a routine dental cleaning, x-rays and fluoride treatment at Coast Dental. We have been patients there for 20 years, 13 years for my son and have always had the same insurance. In June 2022 we starting received Past Due Notices for the fluoride treatment. I logged on to our insurance website and could see that they had paid for the fluoride on March 9, 2022 so I called the number on the notice for Coast Dental and I have called 10 times since, I always get voice mail and have never had a call back. So I took the printout of what the insurance company paid to my local Coast Dental office and they said that they would give it to their Office Manager to get with Corporate to take care of. Date of Service: 4/27/2022 - Coast Dental & Orthodontics, Gainesville, FL First time visit to ONLY establish as a new patient as I was in need of new dental provider on my +16 yr. old Careington dental plan. I explained to both scheduling and on date of service I DID NOT want a cleaning and xrays as I had both with another dental office less than 6 months prior and had no dental issues. I just wanted to get on patient list for future. At appointment, I reiterated NO xrays, cleaning. They indicated if any xrays performed they would not be charged to me. I again did not approve going forward with xrays but they again indicated any xrays would not be charged to me. (As a side note, their xray equipment/expertise of taking xrays was minimal). They attempted to take xrays. I then saw Dr. B. who initial eval., then left room for another patient and after some time, did not return. After 3 hours in this office, I told staff I was late for another appt. and left. Received Statement with numerous charges, mostly x-rays I DID NOT authorize. No explanation on how these amounts were determined. I called local office, after several attempts spoke to whoever answered. Explained incorrect billing issue, was told they had no idea about any of it, would call me back that day. Never heard. Also, I tried to call Coast Dental business office, left more than 6 messages with my issue, and no one has contacted me.
I have now received PAST DUE notice and nasty letter. I will not pay any of this bill until I can speak to billing office. NO ONE from either local Coast office or main Business office has returned my calls. I resent receiving any Past Due notices until these billing mistakes are resolved. I will be contacting Florida Department of Dentistry, as well as Florida Dept. of Business and Professional Regulations.

I have been trying to speak to someone with regard to their billing statement dated June 23,2022.I phoned local office in June and was able to speak to "Desarius" (person who answered office phone) with my billing concerns. She indicated she would look into it and call back that afternoon and I have not heard from ANYONE since that day.
While I completely dispute charges for xrays (as explained in my initial complaint to BBB), I wanted to discuss that I would be willing to pay charge of $23.78 for Comp Oral Eval-new/established?. While statement indicated "per plan", it does not state what "plan" they used for charges.
I attempted weeks ago to go to www.coastdental.com/pay to pay the undisputed charge (if accurate) of $23.78, but website would NOT allow me to pay ANYTHING except the total amount of statement.
In the meantime, I have now received TWO Past Due Notices and still have not received any resolution on this matter.
I have always had excellent credit and have worked hard to maintain that. I am prepared to obtain legal counsel if any negative credit is reported to anyone. The bottom line is that I did due diligence to contact billing immediately upon receipt of first statements to discuss these charges, and I have as of yet not heard from anyone. I am grateful for the BBB's assistance to finally resolve this matter.

In Jan. of 2022 I began receiving a charge dating back to Jan. of 2019 for an additional teeth deep cleaning that I did not have . This is a 2 appointment process and I only received standard cleaning only with one appointment . Back then I disputed this billing with the office mgr. and after SOME SPIRITED DISCUSSION it was agreed an ERROR in billing must have occurred . I never received any further notices . This was the second time , it happened before as well with the same result MUST HAVE BEEN AN ERROR (SUSPICIOUS) . I attempted to dispute with the current office mgr. to no avail , I tried to communicate with the corporate office but always referring me back to the local office but with no answer or call back . It has now been turned over to a collection agency . I am going to pay the bill with hopes you can rectify and get a refund ( $85.60 ) . I only wish I had read your reviews on the company before , I now strongly suspect fraudulent operations by this business . If you are unable to help I guess my only other course will be small claims court . NOTE: Before using Coast Dental I was receiving regular cleanings from another Dentist and had a deep cleaning at one time there with 2 appointments required . ( A deep cleaning would not have been required From Coast Dental ) . On 5/18/22 went Coast Dental to discuss getting clear aligners to correct tooth alignment. Decided to go ahead, got xrays, covered by my insurance & impressions. Paid for the aligners in full with Am Express. A few days later was informed they required a perodontal evaluation & referred me to another office, 30 miles distant, that couldnt book me for several weeks. After careful consideration, I decided not to do the procedure & requested a refund
On 6/9/22, the local office filed a refund request #125081 with their headquarters for patient ID ***** & advised nothing more they could do. By that time I had already paid my American Exptess balance.

Transaction 2-24-21 total amount paid $6104.56 (insurance $3750 ccard paid in full $2354.56). Ortho treatment for my son. I am requesting a refund for services not provided. while living at Ft Hood Army military base, I took my son to get braces on 3 5 21. on his first appointment in July 2021, I notified the person at the front desk that we would be moving at the end of July to NM, we asked for how to continue service, i was advised that there were no partners in NM, I was told that they would stop the billing and refund for me since I had paid the treatment upfront and to be able to start a new treatment in NM once i found a dentist. In August I started calling to inquire about the refund since i would need that to start payment for the new place, I spoke with Morgan B***** several times, each time i called i was told that their systems were down, i believe they were in the process of moving. after several calls and emails with Morgan, i got frustrated of hearing the same responses about the systems being down, Morgan called me in October and said she had a meeting with the district manager (Missy-Chris) regarding my refund and stated that the system was still down, she said she would call me for a status. I did not hear from her again. I called in December and spoke to a manager (Lori) at the office who told me that Morgan was no longer employed there. she told me she had no idea about my refund, asked me for my full card number and said she was putting another refund request for the full amount. she said she would call me for a status refund issued in about a week or two, never heard from her again. i called in January and every month thereafter and no one can tell me when the refund is being issued. i get the same response. the request is pending at corporate. on my last call i asked about how to escalate this issue, i was told that there is no escalation process to just keep waiting or find more contact info at the website. Coast Dental filed a claim with my insurer, United Healthcare Dental. Payments for nearly all individual services on the claim were denied (see EOB included with this narrative) due to: "Teledentistry should be used for administering limited consultative services". Coast Dental billed me $303.00 for the services for which payments were denied.
The only service I received that had anything at all to do with teledentistry was for a dentist to remotely evaluate my x-rays. Obviously the other services provided could not be performed via teledentistry (administration of x-rays and periodontal prophylaxis). I have contacted UHC Dental three times to clarify the reason for the denial of specific services and, each time, after detailing the exact services I received, was told that the claims for individual services were denied because Coast Dental submitted incorrect billing codes. On two occasions I was directed to contact Coast Dental and request that the claim be resubmitted with correct billing codes. I attempted to do this by phone calls and letters but received no response. The agent I spoke with on my third call to UHC Dental actually took the initiative to phone the Coast Dental office where I received services, but she was unable to reach the billing person. So, she left detailed instructions with the staff person who answered the callI about how to resubmit the corrected claim, and she was told that the message would be passed-on to the billing person. To date UHC has not resubmitted a corrected claim and continues to send me bills, now with enclosed "Past Due" notices.
I have written to Coast Dental Corporate, I have called and left messages on their "billing questions" line twice, I have written to the local office where I received services and have called and left messages numerous times requesting a call-back. Now their voice mailbox is full.Customer Answer

I am rejecting this response because:1. I deserve not only your expression of regret, but a full-throated apology for your complete lack of response over a six-month period to my numerous attempts to contact you. This situation could have been resolved in a week had you worked with me.
2. That you sent my account to collections without having made any attempt to contact me was simply appalling. You should be embarrassed that you actually thought sending me bills with "pay this or we're going to get the collections cops after you" was anywhere near a correct way to treat your patients. 3. Without exception, this was the worst treatment I have ever received from a business. Sure, businesses make mistakes but good businesses work with their customers to correct them. That you didn't even attempt to do so reveals just how little you think of your customers.
