We used paycor for a few months and discontinued because they couldn't keep a steady rate and it increased three times. Now they won't let us access our employees payroll info to file w2s and it's after the deadline so we are having to look at getting a lawyer involved.. NEVER USE THEM. Our employees and we are in a bind due to thier negligence and you can't get anyone on the phone or to reply to emails.Business Response

I worked with the sales team about joining Paycor for weeks. I sent our time sheets to verify my information would work with their system. After modifying the report some they assured me it would be a simple upload to get the time into their system and there would be no issues. After signing up I was told that Sales and their "team" did not in fact know what they were talking about and I would have to remap my whole accounting software in order to upload to their system. Otherwise I would have to manually enter every employee for every day for their system to work. This was not what I signed up for. I worked with their "team" for almost a month with no solutions. I was later charged with an early termination fee which I was told would be refunded due to the issues at hand, and a cost for Unemployment. All while I was never able to use their system once. Referencing Paycor Client ID ****** In November of 2022, I filed a complaint against Paycor because they paid the wrong City Withholding tax to ************, when in fact it should have been ******** .(Please See attached complaint) They began to resolve the issue but never complete it. I was still awaiting correct W2C's, and the amendment to receive the refund from ************.(see attached email correspondence) I was told this process wouldn't take long and I should receive my refund from ************ in 8-10 weeks.I was waiting to respond to the BBB once it had been resolved. I contacted RITA(************, and they advised me that they haven't received any amendments. In addition, they advised me that they could only amend back to tax year of 2019. Now this has created an even bigger issue as Paycor completed the initial corrections of what they should haven been paying ******** from 2016-2021, and the amounts to be refunded that I'm owed from ************ from 2016-2021.( see attached Withholding Adjustment Journal from Paycor) The funds were deducted from my account to pay for the correction adjustments to ********, but now per ************ I will not received my money back from 2016-2018. I provided correct information when enrolling my payroll account for it to be set up properly, and I should be penalized to have to pay double tax payments during years 2016-2018 by not being able to get those years refunded because they cant be amended due to Paycors setup error. I would like this issues resolved ASAP because this has been on going since March 2022, and if they resolved this a timely manner we wouldn't of loss a year of an amendmentBusiness Response

For your reference, reasons for rejection are included below.The last time I received contact from Paycor was on 12/23/2022 from Samuel K*** / Senior project specialist apologizing for the delay, and they were still waiting on the W2C's, which per the email would only take a few business days, and then would get the amendments filed.( see attached email) Per my discussion on 1/27/2023, the city of ************ hasn't received any amendments, and that amendments can only go back 3 years. This was a setup error on Paycor's part, as I provide all correct details upon setup, and I should be penalized in paying a double tax because returns may not be able to be amended in full for all years filed in error. . I requesting that this issue to be resolved ASAP, and to receive a full refund for all tax years filed in error whether that comes from ************, or Paycor accepts responsibility for the years that cant be amended per ************ to refund to me for the years 2016-2018. Paycor's lack of prompt actions has cause another year to go by with this unresolved, which in return made another years returns not amendable.

I cant call to get thru to someone since my client ID is inactive the system will not connect me with an individual that is authorize to resolve this issue. The only person I can get is sales, and they instruct me to email the Paycor support team, which I have over the past 11 months with this issue not being resolved. I've clearly outline the resolution I'm expecting. Given the last correspondence I had with the specialist assigned; the call I will be patiently awaiting this afternoon should be updating me that the W2C's have been complete, the amendments have been filed, and I will received my full refund due from ************/Paycor whichever the responsibility lies given the tax year.

For your reference, reasons for rejection are included below.I would love to say that I have confidence that Paycor would resolve this case without the assistance of the BBB, but Paycor has proven time after time that the left hand at times doesn't know what the right hand is doing. I was told the W2C's were processed in December of 2022, and I had been told that my amendments have been filed in January 2023, all which were false statements. I received notification that the W2c's were process just yesterday, and the City of ************ still says the haven't received any amendments. In addition, I have been told on numerous occasions that due to Paycors errors I wouldn't be charge any f***, but yet I received an invoice for the W2C's. (see attached invoice) I don't authorize this deduction. I'm requesting that my invoice be adjusted to $0.00 immediately as the deduction date is set for 3/7/2023 while I continue to wait for Paycor to resolve this case completely.

What I'm noticing is that Paycor keeps re-assigning this complaint to different representatives that are not fully aware of the situation in its entirety. The processed my W2c's, but I received any invoice(see invoice) for the correction when I have been told on numerous occasions that due to this being an error on Paycors part I would be charged any f*** ( see attached correspondence ). I reached out to the last representative I spoke with named Cory C****** and Manager named Lakin S*** ******** as they were the last group to assist with my issues with the company. I contacted them prior to avoid any deduction issues with my account because of the invoice having a deduction date of 3/7/2023. I initially didnt get a response from either but on 3/7/2023, I contacted them again when Paycor is trying to deduct the invoice from my account, and Cory responded to open up a case.( see attached correspondence) This tells me that when they have an issue a new case number get assigned and are not aware of the issues in its entirety. A new representative reached out to let me know they were looking into my issue. I truly believe the systematic manner in which they are handling my issues are causing more issues, and delays. It has been 1 year since I first notified Paycor, and these issues are still not resolved, and the City of ******** still hasn't received payment.( see city notice)

My company has had payroll processed by Paycor for a few years. In October of 2022, I sold that business due to no further payroll processing. I was told when cancelling my account that they would process W2 reports at the end of the year. It is physically impossible for me to reach an actual person at the company. My emails and chats will not get me an answer on this. It is now 1/20/2022 and I have 10 days to send the W2 reports to my employees or I can be in legal trouble. I don't know where to turn. Further, I need a YTD Payroll Journal that there were supposed to send. They sent the wrong report and now they are telling me that they can't access that. I don't know what else to do. Since they processed my payroll, I believe my only option is to have them do the W2 reports. I plan to look into filing a complaint with the IRS because I have nowhere else to turn.
This company used to be good 2 years ago, but their customer service is practically nonexistent now. To add insult to injury, they also had 3 rate increases in 2022 alone.Business Response

Paycor was trying to solicit business from my company. I received a quote. No services were rendered, and no data was transmitted except to facilitate the quote. I declined the quote, as it was incomplete. This was in writing. I reached out to the contact I had, and their representative, Andrew B****, stated I should disregard the invoice and all future invoices, and do not pay any fees. This was on June 16, 2022. I was contacted again by another representative, Jason K*****, on September 6, 2022. I forwarded the information to this representative. I was contacted today with threats of mitigation by representative, Megan B***, and trying to "settle" the balance. My company has not had, or wishes to engage a business relationship with Paycor. After several months of searching for an all in one payroll service, we chose Paycor. I had several zoom calls with them, tested through a sandbox and was impressed with what they had to offer. Implementation was very concerning as their team did not understand our PTO policy and had deductions, withholdings, etc. incorrect. I had to reach out and ask for progress as communication was terrible. The implementation team did not ask for clarification and when I tried to explain, they did very little to try and understand. After having our account locked for close to a week so that Paycor could correct their errors, we discovered that not only did they still not have our account set up correct, they now had employer 457 contributions to 401k set incorrectly to the tune of up to $25k per employee! How do you not notice that this is a mistake? When Paycor discovered that we were still not able to run payroll (Third attempt), they blamed us for the mistakes and issued the following ultimatum/choices.
1. We run payroll (even with the major problems),
2. They would give us ONE MORE chance to run at the next cycle, but we must go in and correct the system ourselves as the "have corrected and confirmed resolution on the same errors multiple times, and will not make any further changes to your database/account".
3. Terminate contract and be subject to the Implementation Recovery Fee totaling $3427.60.
Of course we chose NOT to run payroll and are very thankful that our books were not subjected to their terrible mistakes. We shudder to think about what correcting this would entail.
Paycor has since invoiced us for the Implementation Recovery Fee and has not taken one bit of responsibility. I am appalled at the unprofessionalism and incompetence of this company.Business Response

We have reviewed your BBB compliant and show the account was
closed on 11/04/2022. Since you left during a promotional period and per your
CSA and Terms and Conditions attached, your account was assessed early
termination or chargeback fees. As a result, these charges are considered valid
and subject to collection.
This client was in implementation with us for about 3
months. The client had 4 go live date changes (pushes) on their account
due to client issues. They were unable to provide us the correct balance
entry documents, or they had changes they needed to make in the system and were
not prepared to go live. On the last push with this client, we were able
to get balance entry completed, however they indicated that there were more
updates that needed to be completed in the system. Our Implementation
Consultant (Crystal) had been supporting the client all through their updates
throughout the implementation process. She updated whatever they
requested, however the new updates were contradicting old updates that she had
made. After this final round of BE finally being entered, we did let the
client know that due to the timing and their system needing updates, they would
need to own those updates.
We provided the client with the options of correcting those
issues with the assistance of Crystal, push another payroll, or we will need to
close your account. We then reminded them of their early termination
fees, when those options were provided (The email communications are attached).

For your reference, reasons for rejection are included below.Other than the very first payroll cycle, payroll was not able to be completed due to continued inaccuracies with the information input by Paycor. It would have been poor business sense to complete payroll when there were gross errors that would have later have to be corrected. I would like to remind Paycor that they locked our account for a week prior to the final payroll push. Once they unlocked the account so that the information could be reviewed, it was well past the cutoff time for both internal payroll and Paycor to be summitted. Once reviewed, the errors were larger than ever, including employer 457 contributions at rates that are astounding and show that numbers were not double checked. This was the final straw that confirmed that the Paycor team was incompetent and not able to input information correctly and did not cross check their entries. We were told that we must somehow correct their mistakes and blindly subject our business to inaccurate financials. While we did fail to process the first payroll, it was due to Paycor's repeated mistakes, therefore we should not be held responsible for the fees. We had every intention on using Paycor for years to come had they delivered what they promised.I am attaching the following documentation:1. January through September 2022 Payroll Summary which was provided to Paycor. This is where they pulled all of their information from.2. Payroll journal period ending 10/15/20223. Payroll that we processes through ********** correctly for comparison.4. Payroll journal for final payroll attempt for period ending 10/29/2022.5. Email communication showing that they had locked our account while they corrected inaccurate entries then expected us to process payroll when they created even more mistakes.** Please note that on the first journal, they failed to include *****. On the final journal, they had added it but for amounts that would have quickly put us out of business! **** ***** showed an employer contribution of $26,680 for one pay period. ***** ****** shows $24,560 and so on. I would like to know how Paycor came up with these amounts.The final email from Paycor pointing the blame at ****** *** is absurd. We would have been happy to extend out one more week if we had any faith in the Paycor team. After multiple attempts, they still had grossly inaccurate amounts. They were unable to navigate their own platform and input correct information, yet we THE CLIENT were expected to go in, learn the system and correct their mistakes? This is unreasonable and terrible customer service.

However, there were several communication exchanges that lead to the changes to employee withholding, the client was instructed to update any additional changes directly in their database. They had access to do so, to ensure accuracy and prevent additional back and forth. Our team certainly would have provided the client, support and guidance, should it have been needed. Again, our team provided the client multiple paths forward, and advised the client, that the early termination fees would be charged should they decide to discontinue service.

Transitioned my account from one company to another. During the transition process at the end of Q1 2022 the employee Sara S left the company and did not finalize the closing of my original account. In May Ronald C notified me stating **** was gone and he was taking over the closeout.
March final month billed, paid.
April no payroll runs billed, paid, refunded. Also billed and paid on new EIN account.
May same as April
June no payroll runs, billed, money debited from account, refuse to refund.
July same as June.
August no payroll runs, billed, I closed the bank account to stop payment.
I was contacted and told that everything was now closed out and final closing quarterly reports sent to various tax agencies. W2s would follow.
They would be working on refunds.
I attempt to contact Megan B to see the status on refund she will not take my call and ignores my emails.
December I call again to make sure the W2 process like we discussed back in August. I was told they would be sent out. I receive a collection notice from Megan B for the August bill. I explain everything to her in email, she does not reply. Last week I called back, again she wont take my call and the representative states that it has been elevated to her boss Jason K. He tells the representative that he will email me, refuses to speak to me on phone. Friday they find another account at my bank and debit the August invoice. Today I received notice that my payroll tax accounts are still open.Business Response

for the credit on his old client ID as well as investigating his W2s for the
old client ID, to see if they were already shipped or need to be shipped yet.

In the 1st quarter of of 2021 Paycor messed up 6 consecutive payrolls. We gave them time to fix the issue and we finally left them in April of 2021 due to the incorrect payrolls. We notified a manager, Kelsey G****, of all of our issues and she was sympathetic and sorry to see us go but understood due to the circumstances.
In the fall of 2021 Jason K***** attempted to collect a debit of $1,478.30 for services rendered in August of 2021. I explained the situation and he understood and said no worries he would take care of it.
On November 28th, 2022 we emailed Paycor requesting our 941 from Q1 of 2021. Deactivation support will NOT send our 941 because of a past due balance. I have sent 7 emails to Deactivation Support explaining the situation and they are not helpful. All they say is someone from the Finance Department will reach out. After 3 weeks and 12 emails nobody has reached out from finance and I do not have the 941 requested.
The lack of professionalism and responsiveness is beyond frustrating. I have tried calling, emailing multiple email addresses and nobody EVER responds. This is exactly the reason why we left before and why we will never come back. I cannot believe a company treats their customers their way.Business Response

******* ** *********** deactivated our account when we sold the business. We still pay Paycor a monthly subscription fee to access the data. Paycor submitted to the IRS incorrect information regarding 1099s. The amount is double the actual 1099 amount. We believe they are counting the amounts twice when they switched over to a new form. The IRS is penalizing the 1099 contractors for the excess amount being reported by payor. We have submitted all the documentation to Paycor through the Deactivation email with no response. Paycor only publishes one number on their website as well as their monthly billing statements. If you are in a deactivated status, you are not allowed to talk to anyone on the phone. This is the worst customer service company I have ever dealt with in my 35 years of service. I have never seen a company that intentionally tries to hide contact information and will not allow you to talk with a customer service agent regarding critical issues. Paycor was responsible for filing our ***** form with the IRS so that we could receive our *** money.
I have been talking with them for months and have not received any help from them. They tell me that they have submitted the form and the IRS tells me they have not. They have not given me any proof that they have submitted it and meanwhile we owe big money to ******* who prepared the numbers to give to Paycor so they could submit the form. I just get a runaround from Paycor and no help. So we are out a substantial amount of money because Paycor is not doing its job. Very frustrating.
I do not want to be contacted by any employee of Paycor that can not actually do anything about this issue. I have been talking for months with nice employees of Paycor who are of no help and do not connect me with anyone who can be of help. Again Very Frustrating. Can't talk to anyone at this company who can do anything about my problem. When they ask for my case numbers they can't locate the numbers in the system.

***** *********I have finally after 5 months received a partial response for what I been requesting. I have just recently been contacted by Chris D***** a critical response consultant from Paycor. He called me once and never apologized for the bungling way they handled this issue- for giving me no response and no way of contacting them- for me having to resort to calling my son's friend who works for Paycor in another department in order to get Mr. D***** to call me.
I am still waiting for the tracking number for the forms they said they sent to the IRS for us in May.
When I get this, along with an apology from someone from management in the tax department who will acknowledge the way this was so poorly handled I will let this go.

Chris is very much willing to continue to speak with you on this matter, but Paycor is unable to provide any further action. We are not able to provide any other tracking information other than the fax receipt confirmation. The only thing we can offer to do at this point, is to send another copy of the return to the IRS and provide tracking information for that one. There are risks involved by doing this. An agency can choose to reject, or duplicate the return processing, causing penalties and interest in many cases. If this occurs, you will be responsible for paying those.
